We want you to feel confident enrolling with Atlia Learning. This policy explains exactly when and how refunds apply, what happens in exceptional circumstances, and how to submit a request — so there are no surprises.

Overview

This Refund Policy ("Policy") applies to all enrolments in Atlia Learning programs and governs the conditions under which fees paid to Atlia Learning LLC ("Atlia Learning", "we", "us") may be refunded, transferred, or credited.

By completing your enrolment, you confirm that you have read and understood this Policy in full. This Policy forms part of your agreement with Atlia Learning and should be read alongside our Terms of Service and Privacy Policy.

Atlia Learning offers programs at two levels — the Professional Certificate Program (PCP) and the Post Graduate Program (PGP) — across seven domains: Artificial Intelligence, Generative AI, Agentic AI, Data Science & AI, Cloud Computing, Cyber Security, and Data Analytics.

All fees are quoted in United States Dollars (USD) unless otherwise agreed in writing. For learners paying in British Pounds Sterling (GBP), the applicable exchange rate at the time of payment will apply and refunds will be processed in the original currency of payment.

Enrollment Confirmation

Enrolment in an Atlia Learning program is confirmed upon receipt of the following:

  • Completion of the online enrolment form with all required personal and program details;
  • Receipt and processing of the first instalment or full program fee payment;
  • Dispatch of a written enrolment confirmation email from Atlia Learning to the email address provided at registration.

The enrolment confirmation email will include your program start date, the applicable cohort batch details, a summary of your payment schedule (if on an instalment plan), and a copy of this Refund Policy. The date of this confirmation email is the date from which all refund windows are calculated.

If you do not receive a confirmation email within 2 business days of completing payment, please contact us at hello@atlialearning.com before assuming your enrolment is confirmed. Atlia Learning cannot be held responsible for enrolment issues arising from incorrect email addresses provided at registration.

Enrolment is personal and non-transferable. Each confirmed place is reserved for the named learner only. Requests to transfer enrolment to another individual are governed by Section 6 (Program Transfers) of this Policy.

Refund Eligibility

Refund eligibility is determined by the point in the program timeline at which a written refund request is received by Atlia Learning. The following schedule applies to both the PCP and PGP:

Instalment plan learners If you are on a payment instalment plan, a refund entitlement under Window A or B will apply to the total program fee — not only to amounts already paid. Where fees remain outstanding at the point of refund, the refund amount will be applied first to cancel the remaining balance, and any surplus will be returned to the learner.

How "program commencement" is defined: For refund purposes, the program is considered to have commenced on the official batch start date stated in your enrolment confirmation, regardless of whether you attended the first session. If a program start date is rescheduled by Atlia Learning, the rescheduled date will be used.

Session attendance: For the purposes of Windows C, attendance at a live session is recorded automatically in our learning management system. A session is counted as "attended" if you joined for more than 15 minutes of the scheduled session time.

Refund Request Process

All refund requests must be submitted in writing. We do not accept refund requests made by phone or through informal channels such as chat messages. Please follow the steps below to ensure your request is processed promptly.

Prepare your written request
Draft an email that includes your full name, the email address used at enrolment, your program name and level (PCP or PGP), your domain (e.g. Data Science & AI), your enrolment confirmation number (found in your confirmation email), the reason for your withdrawal, and the date of your request.

Submit to the refunds inbox
Send your written request to refunds@atlialearning.com with the subject line: "Refund Request — [Your Full Name] — [Program Name]". The date and time of this email will be used as your official request date for determining which refund window applies.

Receive acknowledgement
Our team will acknowledge your request within 2 business days and confirm the applicable refund window based on the date received. If we require any additional information to process your request, we will contact you at this stage.

Review and decision
Atlia Learning will review your request against the eligibility criteria in this Policy. We aim to issue a final decision within 5 business days of receiving all required information. You will receive a written decision by email.

Refund issued
Approved refunds are processed within 10 business days of the decision date, to the original payment method. See Section 9 (Processing Time) for full details on timelines and payment method specifics.

Keep a record of your request We recommend retaining a copy of your refund request email and any acknowledgement you receive from us. In the unlikely event of a dispute, the timestamp of your email will be the definitive record of when your request was received.

Non-Refundable Fees

The following fees and costs are non-refundable under any circumstances, including cases that would otherwise qualify for a full or partial refund under Section 3:

Technology & Platform Fee
A one-time platform setup fee of $150 (where applicable) covers access provisioning, learning management system onboarding, and tooling. This is non-refundable once your account has been created.

Learning Materials Accessed
Any digital course materials, recorded sessions, or proprietary resources accessed by the learner prior to the refund request date are non-refundable due to their digital nature.
🎓
Completed Assessments
Where a learner has received written feedback on submitted project work or assessments from a mentor, the mentor's time invested is non-refundable and will be deducted at cost from any partial refund.

Career Counselling Sessions
Paid 1-to-1 career coaching or counselling sessions completed prior to withdrawal are non-refundable. Note: initial free counselling sessions are not subject to this clause.

Payment Processing Fees
Third-party payment processing fees charged by our payment provider (typically 2–3% of the transaction) are non-refundable and will be deducted from any approved refund amount.

Instalment Administration Fee
Where an instalment plan was set up and two or more instalments have been collected, an administration fee of $75 applies and is non-refundable.

Where a partial refund is approved and non-refundable costs are applicable, those costs will be clearly itemised in the refund decision email before processing. Atlia Learning will not deduct fees that were not incurred.

Program Transfers

Rather than withdrawing and requesting a refund, learners may in certain circumstances be eligible to transfer their enrolment to a different program, domain, or future cohort batch. Transfers are subject to the following conditions:

6.1 Cohort Batch Transfer (Deferral)

A learner may request a deferral of their enrolment to the next available cohort of the same program and domain, subject to availability. Deferral requests must be submitted in writing to refunds@atlialearning.com no later than 7 days before the program start date. Each enrolment is eligible for one deferral only. Subsequent deferrals will not be granted except in cases of documented exceptional circumstances (see Section 7).

6.2 Domain Transfer

A learner wishing to switch from one domain to another (for example, from Cyber Security to Data Science & AI) at the same program level (PCP or PGP) may request a domain transfer. Domain transfer requests must be received before the program commences. No fee is charged for a domain transfer if made within 14 days of the original enrolment confirmation. Domain transfers requested after this period may be subject to an administration fee of $100.

6.3 Level Transfer (PCP to PGP Upgrade)

Learners enrolled in a PCP program who wish to upgrade to the PGP program in the same domain before the program commences may do so by paying the difference in program fees ($3,999). Level upgrades are not available once a program has commenced. Downgrades from PGP to PCP are treated as a withdrawal followed by a new enrolment and are subject to the standard refund schedule in Section 3.

6.4 Transfer to Another Individual

Enrolment places are personal and non-transferable to another individual. Atlia Learning does not permit the transfer of a confirmed enrolment to a third party under any circumstances.

Exceptional Circumstances

Atlia Learning recognises that life can be unpredictable. Where a learner is unable to continue or commence a program due to circumstances entirely beyond their control, we will consider applications for an exceptional circumstances refund or deferral outside the standard windows. Each case is reviewed individually and on its merits.

Serious Medical Emergency
A sudden, serious illness or injury affecting the learner or a close family member that prevents participation. Medical documentation from a licensed healthcare provider is required.

Bereavement
The death of an immediate family member (spouse, child, parent, or sibling) occurring within 4 weeks of the program start date or during the program. A copy of the death certificate or obituary may be requested.

📋
Redundancy or Involuntary Job Loss
Unexpected and involuntary loss of employment occurring after enrolment, where the learner can demonstrate that continuing the program is no longer financially viable. Evidence such as a redundancy letter is required.

🌍
Natural Disaster or Force Majeure
Events outside any party's control — including natural disasters, government-ordered restrictions, or public health emergencies — that prevent a learner from participating in the program.

⚖️
Visa or Immigration Issues (UK Learners)
Where a learner's ability to legally reside and study in the UK is unexpectedly curtailed by immigration authority decisions outside their control, after the program has commenced.

How to apply for an exceptional circumstances review: Submit a written request to refunds@atlialearning.com with the subject line "Exceptional Circumstances Request — [Your Full Name]", along with a clear description of the circumstances and any supporting documentation. We will respond within 5 business days.

Exceptional circumstance decisions are made by the Atlia Learning Student Experience team and are final. The following are explicitly not considered exceptional circumstances for the purposes of this section: changes in personal preference, acceptance of employment that conflicts with session times, failure to read the program schedule prior to enrolment, or general financial difficulty that was foreseeable at the time of enrolment.

Course Cancellations by Atlia Learning

In the unlikely event that Atlia Learning is required to cancel a program cohort entirely — prior to or after commencement — the following terms apply:

8.1 Cancellation Before Program Commencement

If Atlia Learning cancels a confirmed cohort before the program start date, all enrolled learners will receive:

  • A full refund of all fees paid, processed within 10 business days of the cancellation notice; or
  • At the learner's preference, an automatic transfer to the next available cohort of the same program and domain at no additional cost, with priority enrolment status.

Learners will be notified of any cancellation by email with a minimum of 14 days' notice wherever possible. Where cancellation is caused by events outside our control (force majeure), notice may be shorter, but we will communicate as promptly as practicable.

8.2 Cancellation After Program Commencement

If a program must be discontinued after it has commenced — for example, due to an unexpected event affecting a mentor or the technical platform — Atlia Learning will:

  • Endeavour to resume the program at the earliest opportunity, providing affected learners with a make-up session schedule;
  • Where resumption is not possible within 30 days, offer learners a pro-rated refund calculated based on the proportion of the program that was not delivered;
  • Alternatively, transfer the learner's enrolment and any pro-rated credit to the next available cohort, at the learner's election.

Atlia Learning will not be liable for any indirect losses arising from a program cancellation — including lost wages, travel costs, or costs incurred in preparation for a program — beyond the refund of program fees as set out above. Learners are encouraged not to make significant financial commitments contingent solely on program delivery until they have attended at least one live session.

Program cancellations are rare Atlia Learning has maintained a 100% program delivery record since launch. Cohort cancellations have never been required. We document this fact transparently and are committed to maintaining it.

Processing Time

Once a refund is approved, Atlia Learning will initiate the refund within the timelines below. Processing times vary by payment method and are outside Atlia Learning's control once the refund has been initiated from our end.

All approved refunds are returned to the original payment method only. Atlia Learning does not issue refunds by cheque, bank draft, cryptocurrency, or to any account or card other than the one used to make the original payment. If your original payment card has expired or your account has been closed, please notify us at the time of your refund request and we will work with you and our payment provider to find a resolution.

If your approved refund has not appeared within the timelines above, please first check with your bank or payment provider before contacting us. Banks sometimes hold inbound refunds pending internal processing. If you have confirmed that no refund is pending at your bank's end and 15 business days have passed since your approval notification, please contact refunds@atlialearning.com and we will investigate.

This Refund Policy was last reviewed and approved by Atlia Learning LLC on 16 June 2026 and forms part of the agreement between Atlia Learning and enrolled learners. It is subject to change; the version in force at the time of your enrolment will be the version that applies to your program.
